What Is a Resignation Letter?
A resignation letter is a short written notice telling your employer that you are leaving your job and when your last day will be. It is not a negotiation, an explanation, or an exit interview — it is a dated record that you resigned and that you gave notice. A complete resignation letter needs only three things: a clear statement that you are resigning, your job title, and your final working day. Everything else is courtesy. How to Write a Resignation Letter
- Date it and address your manager by name.The date matters more than people expect, because it is what establishes when notice started. Address your direct manager rather than the company in general, and use the name you would use in an email to them.
- State the resignation and your last day.Put both in the first sentence or two. Give an actual calendar date rather than "in two weeks", so there is no room for a different interpretation later. - Offer a handover.One paragraph on what you will do before you go: finish outstanding work, write up your responsibilities, help train whoever replaces you. This is the sentence that protects your reference, and it costs you nothing to include.
- Close with thanks, then stop.One neutral line of gratitude, a sign-off, your name. Resist the urge to explain yourself further. A one-page letter reads as professional; a three-page letter reads as unresolved.
What to Include in a Resignation Letter
The required elements are short: the date, your manager's name, a statement of resignation, your job title, your last working day, and your signature or typed name. Mistakes to Avoid
Venting. The single most common regret. Whatever prompted you to leave, the resignation letter is the worst possible place to record it: it is permanent, it is filed, and it will be read by whoever checks your reference in five years. If you want the feedback heard, save it for the exit interview, where it is at least expected.
Being vague about the date."Effective in a couple of weeks" creates an argument about your final paycheck. Name the day.
Over-explaining. A long justification reads as guilt and invites a counteroffer conversation you may not want to have. "Personal reasons" is a complete sentence.
Sending it before you have talked to your manager.Except where the relationship makes that unsafe or impractical, tell them first and send the letter the same day. Finding out by email that a report has quit is the version people remember badly.
Skipping the copy for yourself.Keep the PDF. If there is ever a dispute about notice or final pay, the dated letter is the only evidence you control.
